Send Emails from eTrack

With so many emails in our lives it is getting harder and harder to keep track of who has sent what to whom. We have thus built email into eTrack to enable a full audit trail to be automatically maintained, integrated with the Transmittal Register.

• Click on the email icon for the selected project to create an email within eTrack using rich text.
• Find and attach documents using the built in Document Manager.
• Find and select contacts and eTrack will automatically populate their email addresses.
• Or you can select a document to email and select recipients.
• Or you can select a contact and attach documents.

The email will be saved within eTrack and referenced from the documents, the recipients and the related project. The Transmittal Register will be automatically updated. It may also be saved to your email exchange server.

Receiving Emails

Incoming Emails may be automatically saved within eTrack related to the recipient they are received from. If the project number is found within the Subject of the Email then the email is also saved with the project. Emails with no project number may be related to an 'Unknown Project' Inbox and manually related to projects.

Transmittals

The eTrack Transmittal Register is an electronic version of a typical architect's paper form. Each Transmittal is a column recording how many copies of which Documents have been sent to which Recipients. The Recipient and Document lists are automatically generated from the project contacts and project document registry respectively making it very easy to use. Date/Time, Distribution Code, Media Code and Document Status are all recorded.

What ever you search for or select you can view the Transmittals associated with that item and everything under it in the eTrack tree. For example all transmittals to do with a Client, a Project, a Consultant, a Council or an individual Contact can be viewed.

When an email is sent, a Transmittal is automatically created as a new column in the Transmittal Register and the email text also saved.

Autodesk Revit CAD Interface using RevitTV

eTrack is building an interface with the RevitTV Drawing Manager from Graphics Dimensions Ltd which interfaces document transmittals with the Revit CAD package by Autodesk and Aconex. This will ensure full visibility in eTrack of all drawing revisions maintained by Autodesk's Revit CAD package and integrate with eTrack's Transmittal Register.

It will also allow time booked to drawings by staff within eTrack to be reconciled with the % complete exported from Revit.
